Associate
Department: Catalyst Western Region
Reports to: Senior Director, Western Region
Responsibilities
The Associate possesses an interest in corporate environments, diversity and inclusion, and the issues women face at work. He or she expedites the Catalyst Western Region role in member relations, events, and brand awareness. The Associate works with the staff to increase membership, support member-relations activities, and raise Catalyst’s profile in the region. He or she also coordinates events, helps advance the knowledge base, represents Catalyst at external events, including speaking engagements, and provides administrative support.
Functions
Membership
- Collaborate with the Catalyst Western Region staff to develop strategies for enticing new members and serving existing members.
- Serve as relationship manager to designated member companies; maintain regular contact to alert members to upcoming events and research, communicate Catalyst benefits, ascertain needs and issues, handle requests, and manage renewals.
- Maintain files for members and prospects; update contact manager database.
- Coordinate materials for membership engagement, inquiries, and renewals.
Administration
- Support office logistics and administrative functions. Duties include scheduling meetings, conference calls, and travel; taking notes; handling mailings and status reports; and providing technical assistance.
- Participate in project planning, problem-solving, and client meetings.
- Organize and maintain library; develop systems for filing and archiving hard-copy and electronic documents.
- Order supplies, process invoices, check requests, and prepare expense reports.
- Prepare and distribute departmental calendar, monthly activities, and progress reports.
- Handle mail distribution, filing, and copying; perform administrative duties for Senior Director.
- Manage Western Region Advisory Board documents; assist Senior Director in planning, developing materials, and taking notes for Western Region Advisory Board meetings.
- Ensure the optimal functioning of office machines; troubleshoot; manage office-services contacts; and perform office errands.
- Coordinate with New York office regarding Catalyst-wide activities.
- Lead coordination and logistics for on-boarding new Western Region staff.
- Handle IT support for region and act as liaison with New York Technical Services group and local IT consultant.
Events
- Research, administer, and manage physical and virtual events.
- Oversee the logistics involved in staging member events, such as generating invitation lists, mailing invitations, tracking attendees, arranging seating, setting up tables, and registering guests.
- Handle communications with attendees, sponsors, vendors, and volunteers.
- Assist in developing event content and coordinating speakers and panelists.

- Accurate data-entry and note-taking skills.
- Proficiency in word-processing, spreadsheets, and databases (Microsoft Office: Word, PowerPoint, Excel) in a networked Windows environment. Knowledge of Adobe Photoshop a plus.

Requirements
This position requires a B.A., B.S., or equivalent, preferably in the social sciences, business administration, or organizational development; an M.B.A. is preferred. The position requires at least three years experience in human resources, diversity, member relations, or consulting. Experience dealing with client services, membership, and/or fundraising is a plus.
